Your role:
As part of the development and quality of its programmes, Continuing Education is looking for a recognised professional with a strong sense of organisation, rigour and the ability to coordinate diverse activities.This role plays a key part in the smooth running of programmes by ensuring effective logistics management, reliable administrative support and smooth communication with all stakeholders. Committed, adaptable and service-oriented, the post holder actively contributes to operational excellence and the experience of our participants.
Your main responsibilities:
Ensure the logistical and administrative coordination of programmes.
Prepare programme content: agendas, participant lists, support documents and presentation materials.
Draft and send correspondence and communications intended for participants and speakers.
Collaborate with internal and external providers to define and implement the logistical parameters of programmes.
Anticipate organisational risks and challenges related to the running of programmes.
Manage several programmes simultaneously, demonstrating excellent organisation and the ability to prioritise.
Assist faculty members with all logistical aspects related to online or hybrid programmes.
Negotiate, select and manage relationships with external suppliers to ensure timely and high-quality services.
Monitor all payments: issuing invoices, following up on outstanding amounts, and clear communication with participants.
Manage financial administrative tasks: processing financial emails, reconciling credit card expenses, monitoring payments to suppliers and speakers in liaison with accounting.
To succeed in this role you will need to:
Education: Federal VET Diploma or higher qualification.
Experience: 3 to 5 years in event management or training coordination.
Languages: Proficiency in French and English, both spoken and written. Excellent writing skills in English.
Rigour: Great attention to detail and accuracy in daily tasks.
Financial skills: Comfort with numbers and understanding of basic financial processes.
Interpersonal skills: Excellent communication and interaction skills with diverse interlocutors.
Personal qualities: Proactive, adaptable, able to manage multiple priorities simultaneously.
