Position: Customer Service Administrative Assistant
We are seeking a dedicated and organized Customer Service Administrative Assistant to join our European after‑sales team. In collaboration with the Service Managers and the Spare Parts Manager, you will be responsible for providing administrative support to ensure smooth customer service operations.
Key Responsibilities
* Recording/invoicing of service assignments according to the Service Manager’s report in the local ERP system; managing and invoicing maintenance contracts; uploading invoices to various portals; assisting with reminders for outstanding invoices; creating credit notes.
* Assisting in scheduling appointments and follow‑up with worldwide customers as needed.
* Preparing reports (ERP and Excel): weekly sales, leads per month, backlog per month, warranty costs per month, S‑Curve, estimating the service revenue per week.
* Creating presentations in Powerpoint.
* Assisting with the processing of customer spare parts orders.
* Handling exchange deliveries up to the creation of credit notes (RMA).
* Supporting the local Service Department, including assisting service technicians with administrative tasks for approving customer service visits with special requirements (managing online portals).
Qualifications
* Experience as a sales assistant or customer service assistant.
* Some technical experience would be appreciated; at a minimum a technical curiosity and interest in machinery or industrial equipment will be needed.
* Experience in an international environment.
* Very good spoken and written skills in English and German; French or Spanish is an advantage.
* Proficiency in MS Office (Word, Excel, Outlook) and ERP experience.
* Very flexible, team oriented, reliable.
* Ability to manage stress and peak workloads.
* Independent and self‑motivated.
