Overview
We are looking for a detail-oriented and proactive Administrative Assistant to join our team. This role involves supporting both administrative and finance functions, ensuring accurate data entry, timely invoicing, and smooth communication with clients and suppliers. The ideal candidate is bilingual (French and English), well organised, and motivated to contribute to a fast-growing entrepreneurial environment. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role. Position based in Switzerland.
Responsibilities
* Managing supplier and client invoices, payments, and returns.
* Maintaining accurate records of deliveries, goods receipts, and bank transactions.
* Preparing and issuing client invoices (weekly and monthly).
* Assisting with reporting tasks, including sales statistics and data submissions to partners.
* Handling client communication, reminders, and email correspondence.
* Supporting management with general administrative tasks and process improvements.
Qualifications
* CFC in Administration or Finance, Bachelor’s degree, or recent university graduate (or equivalent experience).
* Fluency in French and English, both spoken and written.
* Experience with Swiss accounting practices(facturation, TVA, bookkeeping).
* Strong organizational skills, precision, and strong attention to detail.
* Proficiency with Microsoft Office (Excel, Word); knowledge of WinBizis a strong advantage.
* Comfortable learning and adapting to new software (Odoois a plus).
* Excellent communication skills, professional and proactive in client and team interactions.
* Ability to take initiative, manage multiple tasks, set priorities, and meet deadlines in a dynamic environment.
