Location: Basel, Switzerland
Facility Coordinator (part‑time, 50 %) – engaging in full range of facility management services at a Financial Services client.
Responsibilities
* Proactively represent NTMSIL and our clients.
* Space planning, including office layout and furniture needs.
* Plan operational FM activities and services for the Basel office as required.
* Occasionally cover reception duties and manage the switchboard.
* Monitor helpdesk queries and respond within agreed SLAs.
* Maintain a professional appearance and welcome visitors.
* Respond to visitor enquiries in a friendly and proactive manner.
* Coordinate all ad‑hoc duties as required by the Workplace Services Team.
* Collaborate with the Facilities Manager to support delivery of Workplace Services (WPS) functions.
* Vendor management and relationship development.
* Review furniture requirements, keeping office supplies and kitchen areas stocked.
* Process incoming invoices, tracking all costs against the FM budget.
* Schedule preventative maintenance, respond to urgent maintenance calls, and contribute to emergency preparedness plans.
* Assist with move projects as needed.
* Deliver high‑quality FM services for the Basel operation, including: archiving, cleaning, catering, reception & switchboard, post & distribution, WPS helpdesk and reservations, and administration.
Qualifications
* Excellent customer‑care and problem‑solving skills.
* Proven track record in a professional services firm; experience within a global organization is beneficial.
* Proven ability to build and maintain strong vendor relationships.
* Experience in financial management and budgeting.
* Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint, Project).
* Pro‑active, teamwork‑oriented, flexible, and adaptable to changing business requirements.
* Strong written and oral communication, presentation, and negotiation skills.
* Networking capability at all levels of an organization.
* Strong initiative, confidence, and professionalism in all dealings.
* Fluent in English and German.
* Effective communicator, capable of influencing across various management levels.
* Ability to set deadlines, priorities, and manage time efficiently.
* Minimum 4 years of relevant experience.
