You will work side-by-side with the head of the department and their team, helping them collaborate with country affiliates to ensure the commercial delivery of the region. The perfect candidate has a minimum of 3+ years of experience as an Executive Assistant. They are highly skilled with Google Suite applications (Gmail, G-Drive, G-Calendar, etc.) and actively utilize AI tools to automate routine tasks. They are fast learners with a "can-do" attitude, eager to experiment with new ways of working and thrive in a global network. The successful candidate is a natural team player who can maintain confidentiality and build strong relationships across the organization, as well as a proactive, adaptable, and highly organized professional. Fluent C1+ level verbal and written English communication skills are also required.

Tasks and Responsibilities:
* Executive Support & Coordination: Serve as the trusted point of contact for a regional LT member, managing complex calendars, expense reporting and arranging international travel.
* Operational Excellence: Serve as the “go-to” operational expert for the team, handling budget management, expense tracking, purchase orders, digital signatures and ensuring all administrative processes run smoothly.
* Confidentiality: Handle highly sensitive and confidential business and financial information with discretion and professionalism
* Team Enablement: Drive a positive and productive team environment by coordinating meetings and large-scale events, while also developing and maintaining team resources like the G-Site.
* Calendar & Meeting Management: Schedule and coordinate NEO meetings (monthly, F2F, sub-chapter, ad-hoc), organize agendas, record action items and decisions.
* Communication Oversight: Manage the NEO generic email account, screen and draft responses, and maintain organized correspondence.
* Community Engagement: Maintain active Google Spaces groups, manage member lists, and oversee mailing lists for the NEO Team and Digital Marketing Community.
* Administrative support of NEO Sub-Chapter Leaders: Provide proactive coordination and organizational assistance to ensure consistency and efficiency
* Assistant Network: Close collaboration with the EMEA-LATAM Assistants and providing support to each other as needed
* A Bachelor’s Degree in Business Administration, or a related field, or a commercial apprenticeship in office administration (KV)
* Minimum of 3+ years of experience as an Executive Assistant or Office Manager
