Job Description
Operational & Administrative Support
Safeguard operational efficiency by managing calendars, scheduling key meetings, and ensuring focus time during seasonal creation phases.
Support day‑to‑day administration, including documentation, internal coordination, and tracking deliverables across the materials workflow.
Assist in preparing team‑relevant information, presentations, and internal communication.
Assist in planning travel for sourcing trips, fairs and factory visits, including itineraries and expenses when needed.
Materials Library Management (Physical & Digital)
Maintain, organise, and continuously improve the physical materials library, ensuring samples, swatches and storage areas are organised, labelled and easy to navigate.
Coordinate incoming material swatches, sample shipments and returns across global suppliers.
Ensure documentation is complete, up to date and aligned with internal standards.
Supplier & Event Coordination
Act as a professional point of contact for suppliers, helping organise meetings, sample intake, and NDA tracking.
Support the setup, logistics and coordination of the team's biannual materials fair, including stand preparation, supplier communication and on‑site assistance.
The Successful Applicant
At least 3 years of experience in an administrative, coordination, office assistant, or operational support role.
Experience in retail, product‑related environments, or materials‑focused work is highly valued.
Experience in planning and coordinating events.
Fluency in English and confidence working across global functions.
A strong hands‑on mindset with the ability to manage multiple priorities while staying organised, calm, and professional.
A natural interest in materials, textiles, or product creation and genuine enjoyment in working with physical samples and structured libraries.
A highly organised and detail‑oriented working style, with the drive to bring structure and order.
The ability to learn quickly, adapt fast, and work independently without extensive onboarding.
A proactive approach with the ability to anticipate needs, solve problems early, and keep workflows running smoothly.
A friendly, open personality who enjoys working in a high‑energy, creative, and international team.
