Role Overview: We are seeking a Receptionist to be the welcoming face of our office and central point of contact for staff and guests. As a Receptionist, you will play a pivotal role in ensuring that everyone who visits or contacts our organization enjoys a warm, efficient, and professional experience. You will manage the front desk operations, support day-to-day office needs, and help maintain our vibrant and collaborative environment. Key Responsibilities:
* Guest Reception: Welcome all visitors, notify relevant staff, and deliver a professional front-of-house experience.
* Front Desk Operations: Manage the main phone line, direct calls and messages, and handle correspondence at the front desk.
* Reception & Area Upkeep: Keep reception and adjacent areas tidy, organized, and welcoming.
* Meeting Room Management: Act as the gatekeeper for booking and maintaining meeting rooms.
* Mail & Deliveries: Receive, sort, distribute incoming mail/packages, and prepare outgoing shipments.
* Inventory & Supplies: Track, order, and manage office stationery and supply inventory.
* Printing & Scanning: Provide printing and scanning support; maintain printer and scanner
* Calendar: Keep the company calendar current with employee whereabouts and office activities.
* Budget & Accounting: Prepare office expense reports, manage petty cash, process invoices, and assist with budget tracking/approvals.
* Travel & Logistics: Coordinate team/company travel and execute logistics for events.
* Internal Communication: Draft and circulate announcements.
* Ad Hoc Tasks: Assist with miscellaneous errands and support staff requests as needed.
Required Skills and Qualifications
* Prior experience in reception, office management, or a relevant hospitality role. Hospitality education will be a plus.
* Fluency in both English and French (written and spoken) is essential.
* Excellent organizational skills and the ability to multitask and prioritize effectively.
* Strong communication, interpersonal, and problem-solving abilities.
* Discretion, reliability, and a professional demeanor at all times.
* Eligible to work in Switzerland.
