HR Services Senior Specialist (German-speaking)
Our client is a pioneer in Drug Discovery and Development and one of the frontrunners in Personalised Healthcare. As the world`s largest R&D spender in the pharmaceutical and diagnostics domain, they work in a vast number of drug discovery & therapeutic areas and are highly recognized internationally.
We are currently looking for a HR Services Senior Specialist for a permanent role based inBasel area, Switzerland .
1-2 days/week home office possible.
The main focus of this role is to ensure timely and accurate administration of HR processes/operations, to support employees and HR Business Partners, and to provide information regarding administrative questions related to contracts, time & absence management, employment administration, etc.
Main Responsibilities:
First level support to employees regarding HR administrative questions including time & absence management questions
Administration of the employee life-cycle: onboarding – employee transfers – exit
Issue employment contracts, contract amendments as well as other contractual documents based on input of HR Business Partners and/or Directors
Ensure all necessary work permits are requested on time and liaise with the corresponding authorities
Issue employment confirmations and other certificates to employees
Issue interim and final reference letters to employees based on input of HR Business Partners/Directors and/or Line Managers
Administer all employee data in the relevant HR systems and ensure its accuracy and high standard quality
Manage scanning and filing of all relevant HR Documents in the Digital Dossier (E-Archiving) system
Interface with HR Business Partners/Directors, payroll and other internal stakeholders
Administer time & absence management system and take action in consultation with the employee and/or line manager
Build and enhance relationships / network across the company at various levels
Participate or lead in smaller projects across the HR Services team
Continuously focus on and support to implement business improvement efficiencies across the HR Services team, and help the team to reduce complexities in all related HR processes
Supporting function in the monthly payroll
Qualifications and Experience:
Relevant working/residency permit or Swiss/EU-Citizenship required
Apprenticeship in administration (KV) and a further education in Human Resources Management (e.g. “Eidg. Dipl. Personalfachmann/-frau” or equivalent)
Minimum 4 years of experience in HR Administration in a multinational environment
Applied knowledge of Swiss Labor Law, social insurance and tax system and regulations
Computer and software usage literate
Strong customer service orientation
Proven effective communication skills
Effective team player
Detail oriented & exact, efficient working
Ability to set priorities and manage several tasks at a time
Fluency in German & English (written & spoken)
