About the Role

We are looking for a highly organized, discreet, and proactive
Executive Assistant
(m/f/d) to support our Chairman during a key transitional period for
a fixed-term period
. This interim role is ideal for an experienced professional who thrives in dynamic, international environments and can provide seamless executive support from day one.

Key Responsibilities

Executive Support

* Manage and prioritize the Chairman's calendar, appointments, and meetings
* Coordinate complex travel arrangements (flights, hotels, visas, itineraries)
* Prepare documentation for meetings, presentations, and events
* Draft correspondence, reports, and meeting minutes
* Act as a gatekeeper and liaison for internal and external communications

Administrative & Organizational Tasks

* Handle expense reports, budget tracking, and invoice processing
* Support personal arrangements (appointments, travel, events)
* Assist with executive events, town halls, and offsites
* Coordinate with top management and global Executive Assistants
* Manage guest arrangements and office supplies

Meeting & Communication Management

* Organize meetings, prepare agendas, and ensure follow-up actions
* Liaise with internal teams and external stakeholders
* Manage meeting room logistics and scheduling

Your Profile

* Minimum 5–10 years of experience in a similar PA/EA role at C-level
* Strong interpersonal skills and cultural sensitivity
* Excellent organizational and time management abilities
* High level of discretion and professionalism
* Fluent in
Japanese and English
(German is a plus)
* Proficient in MS Office tools
* Resilient, adaptable, and service-oriented
