Job Description
This role involves overseeing all aspects of insurance benefits, managing vendor relationships, ensuring data integrity and compliance with Swiss regulations, and partnering with Finance and Payroll.
Insurance Program Administration
* Administer group insurance plans (medical, life, accident, etc.).
* Ensure accurate enrollment, terminations, changes, and invoicing.
* Coordinate with brokers/insurers on renewals, census submissions, claims escalations, and underwriting requirements.
* Handle complex cases (leaves, expatriates, cross‑border workers, local specificities).
* Provide employee communications (plan summaries, FAQs, renewal changes) and SLA‑driven support.
Benefits Vendor Management
* Serve as single point of contact for benefits providers (insurance, pension, EAP, wellbeing).
* Run performance reviews: SLAs, service tickets, accuracy, turnaround, member experience; drive corrective actions.
* Manage procurement activities: data privacy addendums, contract terms, renewals, fee benchmarking; raise POs and reconcile invoices.
* Support RFP/RFQ processes and maintain vendor governance tracker.
Data Management & Reporting
* Maintain data integrity across HRIS (Workday, SAP SuccessFactors), benefits portals, payroll interfaces.
* Execute regular reconciliations (eligibility, premiums, deductions).
* Build and automate audits and controls (missing data, duplicates, effective dates, retro changes).
* Produce dashboards: participation rates, premium trends, claims/utilization, compliance status.
* Ensure GDPR/Swiss data protection alignment.
Compliance & Governance
* Ensure practices comply with Swiss regulations, company policies, contractual obligations.
* Maintain accurate policy documentation and employee communications.
* Prepare materials for internal/external audits.
* Track exceptions, document controls, implement remediation plans.
Payroll Interface & Finance Partnership
* Validate monthly benefits deductions and employer contributions, including retro adjustments and off‑cycle corrections.
* Reconcile invoices vs. payroll deductions vs. provider files; resolve variances.
* Partner with Finance on accruals and forecast impacts of renewals or plan changes.
Projects & Continuous Improvement
* Contribute to renewal cycles, open enrollment, and process digitization.
* Map and streamline end‑to‑end processes (joiners/movers/leavers); standardize SOPs.
* Support change management: draft guides, run trainings, elevate employee experience.
Qualifications
* 3‑5+ years in Compensation & Benefits with focus on insurance and vendor management.
* Knowledge of Swiss benefits/insurance landscape; cross‑border/expat exposure a plus.
* Experience with HRIS (Workday, SAP SuccessFactors, or similar) and payroll integrations.
* Strong Excel/Sheets skills (lookups, pivots) and data audit/reconciliation skills.
* Familiarity with GDPR/Swiss data protection and basic contract/SLA concepts.
