Position Title: Executive Assistant Key areas of accountability/responsibility:
Organize and maintain the manager's agenda: schedule, change, coordinate, and prepare all appointments; provide all necessary information to participants.
Arrange and help set up departmental meetings and participate in organizing global events.
Manage all incoming and outgoing post and email messages: Screen, prioritize, and add relevant information for the manager's handling.
Distribute and file all relevant documents and information.
Secure follow-up and check deadlines.
Handle telephone calls and requests: Prioritize, arrange callbacks, and handle phone inquiries as needed.
Provide administrative support: Coordinate the manager's workflow and maintain office systems for efficient paper (digital) flow.
Compose correspondence and reports for the manager's or own signature.
Prepare and finalize presentations in PowerPoint.
Update and chase delegated tasks to ensure progress by deadlines.
Provide backup for other administrative personnel.
Support the B&C global team administratively.
Organize onboarding and training for new employees.
Create purchase orders and ensure timely payments.
Provide facility services: Welcome visitors.
Arrange meetings and meeting facilities.
Assist in preparing meetings, attend, take notes, and distribute minutes and action lists.
Arrange travel and accommodation.
Take initiative in the manager's absence.
Organize office facilities.
Profile:
Educational level: Vocational education.
Excellent communication skills, both written and verbal, in English and German.
Excellent interpersonal skills.
Positive 'can-do' attitude.
Minimum of 5 years' experience as an assistant in a business context.
Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
Knowledge of SAP (SuccessFactors).
