About the role
We are a fast-growing, international company operating across Europe and the United States. As we continue to scale, we are building and strengthening our HR foundations, systems, and processes to support an increasingly complex and distributed organization.
We are looking for an HR Operations Specialist who will play a key role in building, implementing, and running HR operations. This role is ideal for someone who enjoys creating structure, working with data and HR tools, and turning HR requirements into practical, scalable processes in a dynamic growth environment.
The HR Operations Specialist is responsible for the operational implementation and day-to-day running of HR processes, systems, and data, working under the guidance of the Head of HR. The role partners closely with the HR Generalist, who leads HR projects and people initiatives, to ensure these priorities are effectively embedded into HR systems, documentation, and operational workflows.
Job Requirements
* 3–5 years of experience in HR Operations, HR Administration, or People Operations.
* Experience in a growing and international environment; exposure to Europewide HR operations required; US exposure is a plus.
* Strong process-oriented mindset with an interest in building and improving HR operations.
* Comfortable working with HR tools, HR data, reporting, and Excel.
* Highly organized, accurate, and reliable, with strong attention to detail.
* Customer oriented in a pragmatic way, with the ability to support employees while maintaining focus on process quality and scalability.
* Flexible, adaptable, and comfortable in a scale‑up environment.
* Fluent in English and French (written and spoken).
Job Responsibilities
HR Operations & Core HR Processes
* Lead the operational implementation of core HR processes across the employee lifecycle, aligned with the direction and priorities set by the Head of HR.
* Design, implement, and own practical and scalable HR processes (e.g. onboarding, offboarding, exit interviews, end of trial period check-ins) in support of an international, growing organization in collaboration with the HR Generalist
* Ensure HR processes are consistently applied, clearly structured, and fit for purpose across countries.
* Build, structure, and maintain the HR knowledge base (HR SharePoint) as a central source of information for employees and managers.
* Create and keep up to date HR documentation and guidelines, including the Employee Handbook and employee facing process materials.
* Support the adoption of HR processes and tools by organizing and facilitating HR led workshops when relevant.
* Continuously review and improve HR operations using data, feedback, and operational insight.
HR Administration & International Employee Support
* Deliver core HR administration, including employment letters, work certificates, attestations, and standard HR documentation.
* Support HR topics linked to employee changes and mobility across Europe and Internationally, ensuring accurate coordination across countries.
* Act as a reliable and pragmatic operational point of contact for employees and managers, supporting them through clear processes rather than ad‑hoc responses.
* Work closely with HR colleagues and internal stakeholders to ensure smooth execution of HR operations.
HR Systems, Data & Reporting
* Own the operational use of HR systems (HRIS and time management tools), including employee setups, updates, and lifecycle changes.
* Ensure high levels of data accuracy, consistency, and completeness across HR systems.
* Run regular reporting, checks, and audits, working confidently with HR data and Excel.
* Troubleshoot system-related issues and contribute to the ongoing improvement of HR tools and workflows.
