Currently we're searching for a like-minded
Team and Office Manager
to
organize and coordinate administration duties and office procedures, and support our team with various daily tasks and procedures in our Cham office (Switzerland).

Office manager duties and responsibilities will include
providing general administrative support to our CEO and employees, scheduling meetings and appointments, greeting visitors, making office supplies arrangements, delivering financial and budgetary tasks,
etc.

Responsibilities

* Provide general support to CEO, organize and schedule meetings and appointments as per request, provide general support to visitors.
* Support/manage company day-to-day operations and systems.
* Coordinate office maintenance, mailing, shipping, supplies, equipment, and bills. Deal with cleaning ladies.
* Coordinate with IT department on office equipment ensuring proper functionality of office technology systems.
* Manage relationships with vendors, service providers, landlord, ensuring that all items are invoiced and paid on time.
* Deliver financial and budgetary tasks: monitoring and recording expenses, ensuring alignment with company's budget, assisting with processing invoices and payments, providing administrative support for budgeting.
* Manage contract and price negotiations with office vendors, service providers. Negotiating insurance contracts. Controlling lease agreements.
* Be responsible for preparing letters, presentations and reports as per request.
* Perform review and analysis of special projects and keep the management properly informed.
* Collaborate with Recruitment and HR Teams to maintain office policies as necessary, scheduling interviews, participating in onboarding/offboarding processes, preparing candidates reports/reviews.
* Participate actively in the planning and execution of company events: conferences, team-buildings, Christmas gifts delivery to partners, etc.
* Per request participate in travel arrangements for the company employees' and invitees' business trips: tickets, hotels, transfers.
* Ensure security, integrity, and confidentiality of data.
* Identify possible inefficiencies in workflows and suggest improvements, handle emergencies or unexpected disruptions to office operations.
* Perform all other tasks as per management request.

Requirements and skills

* Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
* Knowledge of Office Administrator responsibilities, systems and procedures
* Proficiency in MS Office (MS Excel and MS Outlook, in particular)
* Hands on experience with office machines (e.g. printers)
* Excellent time management skills and strong ability to multi-task and prioritize work
* Attention to detail and problem-solving skills
* Excellent written and verbal communication skills
* Strong organizational and planning skills in a fast-paced environment
* A creative mind with an ability to suggest improvements
* Additional qualification as an Administrative assistant or Secretary will be a plus
* Languages required: English and Standard German
