Job Purpose:
The Executive Coordinator will act as the primary point of contact and right-hand support for the Chief Executive Officer, managing day-to-day operations of the CEO's office. This role ensures seamless coordination of the CEO's schedule, external engagements, meetings, and communications. The position requires exceptional organizational skills, attention to detail, and the ability to multitask under pressure while maintaining absolute discretion.
Key Responsibilities:
Diary Management:
 * Maintain and manage the CEO's complex calendar, scheduling appointments, meetings, and events with precision.
 * Anticipate scheduling conflicts and proactively resolve them.
Meeting Coordination:
 * Prepare agendas, briefing materials, and supporting documents for meetings.
 * Ensure the CEO is fully briefed and prepared for all external and internal engagements.
External Engagements:
 * Coordinate invitations, RSVPs, and attendance for conferences, networking events, and speaking engagements.
 * Act as liaison between the CEO and external stakeholders, maintaining professionalism at all times.
Travel Arrangements:
 * Organize and manage detailed travel itineraries, including transport, accommodation, and related logistics.
Correspondence & Communication:
 * Draft and manage email correspondence, memos, and follow-ups on behalf of the CEO.
 * Filter and prioritize incoming communication, ensuring timely responses.
Administrative Support:
 * Handle confidential documents and sensitive information with discretion.
 * Maintain filing systems, records, and other office management duties as required.
Skills & Qualifications:
 * Proven experience as an Executive Assistant, Executive Coordinator, or similar role supporting C-level executives.
 * Exceptional organizational and time management skills with the ability to handle multiple priorities in a fast-paced environment.
 * Strong written and verbal communication skills with professional etiquette.
 * Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling tools.
 * High level of discretion, integrity, and professionalism.
 * Ability to work independently, anticipate needs, and adapt quickly to changing priorities.
