As an Executive Assistant, you will provide a high level of support to senior management in the Travel Retail team. The successful candidate will have excellent organizational skills and be able to multitask effectively.
The role involves calendar management, expense tracking, business travel coordination, and presentation preparation. You will also be responsible for coordinating meetings, events, and VIP visits.
Responsibilities
* Calendar management: effective end-to-end management of calendars including creation, rescheduling & cancellation of appointments/meetings
* Timely expense management process. Ensure all policies are followed and items are processed within provided guidelines.
* Organisation of executive business travel including flights, accommodation, hire cars, visa application, creation of itineraries & agendas
* Coordination of strategic plans, presentations and quarterly decks: 3-year plan, annual budget, townhalls, business reviews…
* Organization of key meetings: lead team weekly, monthly business review, Top Management meetings
* Event management for office activities & events
* Manage and spearheads VIP visits
* Management of onsite and offsite meetings with boardroom setup and IT support
* TFWA Organization with Top Executive Meetings coordination
* Liaise with internal and external stakeholders.
