Job Description
* Assess client needs and organize events within budget and deadlines
* Manage event bookings and scheduling
* Use and maintain event management tools (Ungerboeck/Momentus)
* Draft booking confirmations, detailed quotes, and rental contracts
* Conduct site visits and promote additional services (interpretation, tech, digital tools)
* Coordinate room setup, catering, IT, and security with internal teams and external vendors
* Oversee operational execution and support during events
* Follow up on payments and client satisfaction
* Train and support student assistants involved in events
The Successful Applicant
* Bachelor's degree in hospitality, event management, or related field
* 2-7 years of experience in event coordination
* Experience in academic or NGO environments is a strong asset
* Fluent in French and English (C1 level minimum); Italian is a plus
* Proficient in MS Office
* Knowledge of InDesign and Canva is a plus
* Strong interpersonal skills, autonomy, and results-oriented mindset
* Flexible and available to adapt to event schedules
