The Executive Assistant Lead will work directly with the Global Client Lead (GCL) Nestlé and other Groupe executives and administrative leads in the global network. The ESL will provide high‑level administrative support to both internal and external parties. ESL will be able to handle complex situations and multiple responsibilities simultaneously, adding intellectual critique and depth to all work strands in seeing them to completion. To accomplish the overall task, the ESL will need to act as the liaison between the Executives and all parties, both internal and external, and therefore must be collaborative, with the ability to build strong and sustainable relationships at all levels.
Verantwortlichkeiten
Provides high quality and effective administrative and business support to the GCL and Nestlé Comex of Executives
Facilitates smooth communication, by acting as a liaison, between the executives, departments, other assistants, employees, and clients, and by distributing communications, cascade announcements, reports & highlights and writing correspondence.
Oversees daily operations through collaboration with department leaders, from more than 50 agency networks worldwide, performing an array of administrative tasks from managing complex diaries, generating correspondence, to organizing different types of meetings & events.
Manages and screens 50-75 daily incoming emails, in a pro‑active manner.
Demonstrates a wide degree of creativity and latitude in developing and coordinating activities on behalf of the GCL.
Holds the responsibility of travel organization (flights, accommodation, visas, expense reports, etc.) and department events, site activities and team off‑sites meetings.
Participates in projects and carries out ad‑hoc duties that may be outside the standard role.
Manages sensitive matters with a high level of confidentiality and discretion.
Proves the ability to deal with a wide range of personalities and people.
Responds to emails/texts/phone calls, with contact outside normal business hours.
Assists in preparing and managing presentations and decks.
Collaborates effectively with Office Manager and Team Assistant and human resources department to meet the needs of the GCL and Nestlé account.

Qualifikationen
8–10 years’ experience in a similar high‑level executive support or coordination role.
Proven ability to manage complex schedules, communications, and multi‑stakeholder relationships.
Excellent written and verbal communication skills in English and French.
Strong command of Microsoft Office and collaboration tools (Teams, Outlook, PowerPoint, Excel).
Highly organized, with the ability to manage multiple priorities and deadlines.
Demonstrated discretion and ability to handle confidential information.
Bachelor’s degree required.
