In this critical role, the Sales Contract Specialist is responsible for ensuring that sold equipment is delivered on time to the site for installation, revenue and costs are accurately recorded, and invoices are created in a timely manner. This position plays a crucial part in maintaining our company's reputation for reliability and efficiency.
Duties & Responsibilities
* The Sales Contract Specialist will review received purchase orders/contracts based on internal guidelines, ensuring compliance with all relevant regulations and procedures.
* They will enter sales order information into our SAP system, ensuring accuracy and completeness.
* The specialist will prepare and send correspondence and invoices to customers, maintaining clear and professional communication throughout the process.
* They will coordinate backlog activities (purchase orders, delivery schedules, etc.) according to contractual terms, collaborating with internal resources to ensure efficient delivery of equipment to customer sites within agreed timelines.
* Closure of coordination with Project Management, Sales, Finance, and other relevant teams is essential to the success of this role.
* The Sales Contract Specialist will organize and initiate the transportation of equipment, ensuring seamless logistics and timely delivery.
* Full responsibility for sales orders to comply with company procedures/compliance rules and facilitate HQ approval processes.
* Monitoring projects in terms of delivery and payment, ensuring accurate tracking and management of sales orders.
* The specialist will guarantee adherence to import and export control procedures both in respect to Swiss and foreign regulations.
* Control and approval of company external supplier's and subcontractor's invoices, ensuring transparency and accountability in financial transactions.
Qualifications, Skills, and Experience
1. A commercial apprenticeship (KV) or equivalent education is required, with an export diploma being a preferable qualification.
2. A minimum of 2-5 years of experience gained through work experience in sales support, processing orders for import/export, administration, or similar roles.
3. Familiarity with international shipping and transportation regulations is essential for this role.
4. The Sales Contract Specialist should possess planning and organization skills, enabling them to coordinate complex logistical activities effectively.
5. Good skills in project coordination activities (from order receipt to delivery and acceptance) are necessary for success in this position.
6. Experience in a customer-focused role is highly desirable, as is fluency in German and English, both written and spoken.
7. A good team player with open-mindedness and initiative is expected to excel in this role.
8. An independent and proactive working attitude is essential for managing multiple tasks and priorities effectively.
