The Project Coordinator is responsible for ensuring the smooth execution of active projects by managing permitting, inspections, scheduling updates, and communications across all involved parties. This role supports the construction team by maintaining accurate project documentation, proactively tracking milestones, and coordinating with subcontractors, third-party inspectors, and county officials to keep projects on schedule and compliant.
Responsibilities
1. Track and follow up on permitting status across all jurisdictions: City of Alexandria, Fairfax County, Arlington County
2. Attend NVBIA meetings in Fairfax, Alexandria, and Arlington
3. Schedule and confirm county and third-party inspections according to project timelines, and inform relevant teams of completed inspections
4. Coordinate re-inspections or resubmissions if inspections fail
5. Communicate with subcontractors, inspectors, and county offices to confirm job completion
6. Review Matterport scans and job site photos to verify project statuses
7. Maintain and update project files in BuilderTrend and Google Drive
8. Update construction schedules in BuilderTrend and flag potential delays
9. Keep accurate logs of all communications and inspection outcomes
10. Organize and file documentation, including permits, contractor agreements, and Certificates of Occupancy (COOs)
11. Prepare regulatory and permitting documents for signature
12. Provide weekly updates to project managers on permitting, inspections, and scheduling
13. Update standard operating procedures based on permitting changes or county feedback
14. Maintain the construction schedule within BuilderTrend, ensuring tasks are current and dependencies are aligned
15. Proactively follow up on outstanding items with vendors, subcontractors, county offices, or internal stakeholders
Qualifications
1. Proficiency in Buildertrend, Google Workspace, and other project management tools
2. Ability to update schedules, manage files, and track progress using Google Drive, Sheets, and Docs
3. Respond to emails, WhatsApp messages, phone calls, and texts within 30 minutes during business hours
4. Knowledge of permitting and inspection processes
5. Understanding of project scheduling and construction sequencing
6. Basic knowledge of trade phrases, practices, and subcontractor roles
Compensation
$15 - $18 hourly
