The Oncology Department is responsible, in terms of diagnostics and therapeutics, for adults suffering from cancer and for support for patients and their loved ones. The goal is to ensure access to the best cancer treatment, to offer adapted care, and to anticipate the needs of hospitalized patients (bone marrow transplant, cell therapy, immunotherapy, etc.). Concurrently, the Cancer Center facilitates cross-departmental activities dedicated to cancer care between services and departments. It combines four oncology services, precision oncology, and radio-oncology and is composed of around 300 healthcare professionals.As a Medical Secretary for a university hospital service, you will support the clinical and academic activities of the assistant doctors in the department. You will manage the stem cell program: searching for donors, lymphocyte donation, pre-transplant evaluations, managing files according to the donor type and their insurance, controlling reports, and ensuring follow-up of the hospital wards 7DL and 7EL (20% on Fridays). You will write and format medical documents (discharge letters, transfer and death notes, admission and follow-up notes), create and open processes in the Workflow, and process documents (prescriptions). You will also manage correspondence, emails, archiving, and document management. You will monitor requests and health insurance guarantees and participate in processing files to coordinate requests for congresses of medical professionals. You will register files in myFMH and update CVs. You will organize business trips, manage registrations, and ensure the reimbursement of expenses, plan meetings, seminars, and conferences, and draft the minutes of these discussions. You will organize appointments with pharmaceutical delegates and process ordering requests. You will ensure the follow-up of databases and departmental dashboards. You will handle complex correspondence and conduct independent research, including for UNIGE, advisory boards, and others.Autonomously, you will manage the doctors’ schedules, on-call schedules, and their agendas, including those of the physicians. This role requires strict management of priorities and an ability to respond effectively to varied needs, as well as a perfect team spirit and the development of close relationships with your colleague to ensure continuity of service. We are looking for an organized, proactive, rigorous, and autonomous person capable of evolving in a demanding and specialized environment. Your sense of service, discretion, and ability to manage complex files with precision make you a valuable asset. You hold a CFC and a higher diploma, such as a federal certificate for assistants, and you have successfully held a similar position for 5 years. Knowledge of academic and research activities is an asset. You have an excellent command of French both orally and in writing, and proven writing skills. Medical terminology is easily understood by you, and you have mastery of a foreign language (English or German at B2 level) as well as knowledge of foreign languages is an advantage. You hold the ECDL Expert certification in Word, Excel, and PowerPoint, and you possess very good knowledge of the software in use at HUG (DPA, DPI, CEGID, GRECO2, OPALE). An excellent command of tools and a keen sense of confidentiality are essential. You also possess tools that enable you to cope with unforeseen events and thus manage stress and priorities smoothly.
