RhyGaze is a biotech company developing transformative gene therapies to restore vision in patients with blindness. Our lead program targets patients with blinding retinal diseases, and we are committed to bringing life-changing treatments to those in need. We are seeking a temporary Administrative Assistant/ Business Manager to provide light administrative support with broader business and operational management responsibilities. This position is to be filled immediately for a duration of 9 to 12 months. This position requires regular on-site presence at our office and fluency in English and German to support internal and external stakeholders.
Tasks
The successful candidate will play a key role in keeping the company running smoothly by coordinating logistics, managing third-party contracts, and serving as a central point of contact for facilities and IT needs. This position is ideal for someone who enjoys wearing multiple hats and working closely with scientific and leadership teams in a fast-paced biotech environment.
Administrative Support
* Schedule meetings, coordinate calendars, and set up virtual and in-person meetings
* Reserve conference rooms and coordinate meeting logistics
* Plan and book domestic and international travel for employees and consultants
* Manage incoming mail
* Provide general administrative support as needed
Business & Operations Management
* Manage contracts with third parties, including:
* Confidential Disclosure Agreements (CDAs)
* Consulting agreements
* Other vendor or service agreements
* Coordinate contract execution, tracking, and renewals in collaboration with leadership and legal counsel
* Manage facility-related needs, including:
* Parking permits
* Office and laboratory access
* Lab-related operational needs and coordination with vendors
* Serve as the primary point of contact for IT services:
* Liaise directly with the external IT firm
* Troubleshoot and resolve IT issues that employees are unable to resolve independently
* Coordinate onboarding/offboarding IT needs for employees and consultants
* Support general business operations and help identify process improvements as the company grows
* Manage company-related policies, updating documents, as needed and ensuring employees receive appropriate training
Requirements
* Proven experience in an administrative, operations, business management, or office management role
* Experience working in a biotech, life sciences, or similarly regulated environment is a plus
* Familiarity with contracts, vendor management, and third-party service coordination
* Fluency in German and English (spoken and written) is required
* Strong organizational skills with excellent attention to detail
* Ability to manage multiple priorities and work independently
* Strong communication skills and a service-oriented mindset
* Comfortable working with external vendors (legal, IT, facilities)
Work Arrangement
* This is an on-site role; regular presence in the office is required
