Role Description
This is a full-time, on-site role located in Lugano for an Office Manager & ESG Champion.
This role provides efficient administrative and front-desk support, ensuring smooth communication between the organization, its employees and visitors.
In addition, the role acts as local ESG Champion, supporting the Head of Sustainability in Lugano and contributing to the development and implementation of sustainability initiatives at GTS.
Main Responsibilities
Office Management & Reception
* Manage front desk activities, welcome visitors and handle incoming calls
* Support scheduling of meetings, appointments and travel arrangements (flights, transfers and parking bookings)
* Ensure meeting rooms are adequately prepared and ready for the scheduled meetings
* Prepare and manage correspondence, reports and documents
* Maintain filing systems and ensure records are accurate and up to date
* Provide administrative support to executives and local teams
* Prepare shipments for couriers, track deliveries and verify invoices
* Manage office supplies and liaise with vendors when necessary
* Welcome new hires and ensure their workstation is fully set up for their first day
ESG & Sustainability
* Support the Head of Sustainability in local ESG initiatives
* Facilitate the GTS ESG Team and coordinate sustainability projects and initiatives, aimed at protecting the planet, the places and the people (i.e. clean-up days, give back to the community, etc.)
* Act as ESG advocate by preparing and delivering presentations to colleagues
* Provide reporting directly to the Head of Sustainability, ensuring clear visibility on local initiatives and progress
* Engage in alignment calls with other local Sustainability Champions and global teams to support coordination and knowledge sharing across regions
* Ensure clear planning, timely execution and follow-up of agreed actions
* Be responsible for local ESG data collection, measurement and reporting
Requirements
* Good knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook)
* Strong calendar and email management skills
* Basic knowledge of bookkeeping or expense tracking
* Good knowledge of Italian, English, German. French is considered a plus.
* Strong organizational, decision-making and problem-solving skills
* Excellent communication, teamwork and presentation abilities
* Ability to manage projects independently and deliver end-to-end solutions
