Job Title: Indirect Purchasing Coordinator
Job Summary
The Indirect Purchasing Coordinator is responsible for managing the full purchase-to-pay process for indirect materials and services. This role ensures that all purchase orders are accurately placed, tracked, and followed through from request to final delivery and invoice resolution. The ideal candidate is detail-oriented, proactive, and skilled at coordinating with internal stakeholders and external suppliers to ensure timely and cost-effective procurement.
Key Responsibilities
•
Place and process purchase orders for indirect goods and services in accordance with company policies and approved budgets
•
Manage purchase orders end to end, including order confirmation, delivery tracking, issue resolution, and closure
•
Act as the primary point of contact with suppliers for order-related communication, follow-ups, and discrepancies
•
Coordinate with internal departments to clarify requirements, timelines, and specifications
•
Monitor order status to ensure on-time delivery and proactively address delays or shortages
•
Verify order accuracy, pricing, and terms; resolve discrepancies related to invoices, deliveries, or purchase orders
•
Maintain accurate purchasing records, documentation, and supplier data within the ERP or purchasing system
•
Support cost control initiatives by ensuring compliance with preferred suppliers and negotiated agreements
•
Assist with supplier performance tracking and continuous improvement initiatives
•
Ensure purchasing activities comply with internal controls, policies, and audit requirements
Qualifications & Skills
•
Certification in Supply Chain, Procurement, or a related field (or equivalent experience)
•
2+ years of experience in purchasing, procurement, or supply chain coordination, preferably with indirect spend
•
Strong understanding of purchase order lifecycle and procure-to-pay processes
•
Proficiency with ERP systems and Microsoft Office (especially Excel)
•
Excellent organizational skills with the ability to manage multiple orders simultaneously
•
Strong communication and follow-up skills, both written and verbal
•
High attention to detail and problem-solving mindset
•
Ability to work independently while collaborating effectively with cross-functional teams
Preferred Qualifications
•
Experience working with indirect categories such as industrialization, IT, professional services, facilities, or office supplies
•
Familiarity with vendor management and contract compliance
•
Experience in a fast-paced or manufacturing/industrial environment
