Job Description
The Successful Applicant
* Office Management & Administrative Support
* Manage day‑to‑day administrative operations: mail handling, insurance matters, interactions with local authorities, contract follow‑ups, and general office administration.
* Serve as the main point of contact for facility management and external service providers (cleaning, security, catering, maintenance).
* Oversee office supplies, reception activities, deliveries, and overall office logistics.
* Coordinate business travel arrangements and visa requests.
* Support internal event coordination (team meetings, team‑building activities, company celebrations).
* Handle document management, filing, archiving, and routine administrative tasks.
* Welcome visitors and manage incoming calls and emails.
* Prepare and issue customer invoices.
* Accounting Support
* Monitor accounts receivable and manage payment reminders.
* Process supplier invoices and prepare payment batches.
* Enter accounting data into the ERP/accounting system.
* Perform payroll reconciliation tasks in collaboration with external service providers.
* Background in office management, administration, or accounting.
* At least 4 years of experience in a similar role
* Excellent organizational skills, autonomy, and adaptability.
* Proactive, service‑oriented, and able to manage confidential information with discretion.
* Excellent command of French (written & spoken) and strong professional English.
* Proficiency with Microsoft Office (Outlook, Excel, Word).
