Context
The Executive Assistant will provide administrative & logistic support to the CEO & administrative related tasks
The Internal Communication Specialist will play a crucial role in enhancing employee engagement, fostering a cohesive organizational culture and strengthen the company’s internal culture. This role involves crafting and disseminating clear, consistent, and engaging internal communications to ensure that employees are informed, motivated, and aligned with the plant and company’s goals and values.
Areas of responsibility
Internal Communication Specialist
1. Assist in the development and implementation of internal communication strategies that support organizational goals and enhance employee engagement.
2. Propose new ideas, initiatives to strengthen people engagement: creation, editing, and distribution of impactful local campaigns
3. Contribute to the visibility of the plant/Country within the Group & towards employees
4. Production of internal communication tools such as videos, newsletters, emails, intranet updates, and internal social media posts
5. Drive local event planning and engagement activities within the plant (townhalls, diversity and inclusion events, safety days, customers days, …)
6. Support to the local functions to ensure the cascading of information
7. Track, analyze and prepare regular reports of the impact and effectiveness of internal communication campaigns and initiatives
8. Participate to Europe editorial committees
9. Provide communication support for internal projects and initiatives as needed
Executive Assistant
10. Support the organization of the CEO/MD Grid schedule and agenda
11. Prepare, review, and provide the documents necessary for his mission
12. Process information: collect, classify, and update any documents or files necessary for the performance of the CEO duties
13. Manage when requested email flows and various contacts on behalf of the CE, especially towards local organization and visits
14. Organize and coordinate internal and external information & visits, sometimes confidential
15. Attend meetings when requested and draft any necessary communication materials (reports, minutes, notes, etc.)
16. Organize business trips and meetings for the CEO, screen phone calls, direct contacts, etc.
17. Contribute to the design, updating, and development of Centralization of tools and dashboards
18. Reporting all information necessary for the proper functioning of the service
Required skills and qualifications
19. 3-5 years’ experience in internal communications or in an Executive Assistant role with strong interest on the other part of the job
20. Excellent verbal and written communication skills (in French and in English, German as a plus)
21. Strong storytelling and creativity, including the ability to simplify key strategic messages to all internal audiences
22. Knowledge of Microsoft Office tools & editing tools (Canva)
23. Proficiency in using digital communication tools and platforms (Sharepoint, Viva Engage)
24. Ability to work collaboratively with cross-functional teams
25. High level of attention to detail and ability to manage multiple projects simultaneously
26. Proactive and able to work independently with minimal supervision
27. Adaptability and ability to thrive in a fast-paced environment
