Coordinate communications, schedules, records, and departmental activities to support the district's fine arts programs and events. /p h3Qualifications /h3 h3Education/Certification /h3 ul liHigh school diploma or GED /li /ul h3Special Knowledge/Skills /h3 ul liProficient skills in keyboarding, data entry, word processing, and file maintenance /li liAbility to use software to develop spreadsheets, databases, and word processing documents /li liAbility to prioritize workflow to address multiple needs of the supervisor and department /li liAbility to multitask numerous complex administrative activities /li liBasic math skills /li liEffective communication and interpersonal skills /li liProficient in Google applications /li liAbility to maintain confidentiality /li liKnowledge of general office procedures and practices /li /ul h3Major Responsibilities and Duties /h3 h3Records, Reports, and Correspondence /h3 ul liPrepare correspondence, forms, schedules, reports, and other documents for the Director of Fine Arts and department staff. /li liMaintain records related to fine arts programs, events, competitions, travel, and student participation. /li liCompile, maintain, and file all reports, records, and other required documents. /li liAssist with maintaining departmental calendars, event schedules, and campus communications. /li liCoordinate and distribute information regarding fine arts events, performances, contests, and meetings. /li /ul h3Department Support /h3 ul liAssist with organizing district fine arts events, performances, exhibitions, and competitions. /li liCoordinate meeting arrangements for department activities, including preparing materials, scheduling facilities, and arranging equipment. /li liAssist with travel arrangements and required documentation for fine arts trips and competitions. /li liMaintain inventory records and assist with purchase orders and departmental budget documentation as assigned. /li liReceive, sort, and distribute mail and other documents to department staff. /li /ul h3Accounting /h3 ul liPerform routine bookkeeping tasks for the department as assigned. /li liAssist with monitoring department budgets, invoices, and purchase requests. /li liProcess and maintain records related to departmental expenditures and reimbursements. /li /ul h3Other /h3 ul liAnswer and respond to incoming calls, take reliable messages, and route to appropriate staff. /li liGreet visitors, students, parents, and staff and provide assistance as needed. /li liMaintain appointment schedules and assist with scheduling meetings and events. /li liMaintain confidentiality of information. /li liFollow district safety protocols and emergency procedures. /li liProvide general clerical support for the Fine Arts Department. /li /ul h3Supervisory Responsibilities /h3 pNone. /p h3Mental Demands, Physical Demands, Environmental Factors /h3 h3Tools/Equipment Used /h3 pStandard office equipment, including a personal computer and peripherals. /p h3Posture /h3 pProlonged sitting; occasional bending/stooping, pushing/pulling, and twisting. /p h3Motion /h3 pRepetitive hand motions, including frequent keyboarding and use of the mouse; occasional reaching. /p h3Lifting /h3 pOccasional light lifting and carrying (less than 15 pounds). /p pMay work prolonged or irregular hours; occasional districtwide travel. /p h3Other Information /h3 pThe District contributes $330 monthly toward the cost of the employee-only health insurance, which is $105 more than the state-required amount of $225/month.
