Job Purpose
The Executive Assistant to the Division President will provide high-level administrative support, manage daily activities, and handle highly confidential information related to financials, strategies, and compensation. The role also involves supporting the Division’s leadership team.
Responsibilities
* Handle confidential and complex assignments involving sensitive information and contacts.
* Manage the executive’s schedule, prioritize appointments, and coordinate meetings based on business needs.
* Oversee projects and tasks for the executive, communicate with staff, and delegate requests appropriately.
* Manage communications, including emails and calls; draft documents and assist in preparing presentations and data collection.
* Arrange domestic and international travel, including flights, accommodations, and transportation.
* Prepare and manage expense reports for the leadership team.
* Support division communications and redirect inquiries to appropriate staff.
* Serve as a liaison for business approvals within the division.
* Provide additional support to the leadership team as needed.
Qualifications
* 5+ years supporting an executive or team in a corporate or office setting.
* Ability to handle confidential information with discretion.
* Excellent verbal and written communication skills.
* Proficiency in office software such as Google Workspace and Microsoft Office Suite.
* Experience coordinating domestic and international travel.
* Strong time management, prioritization, and project management skills.
* Ability to multi-task, adapt to changing priorities, and work well in a team.
* Positive attitude with good interpersonal skills.
* Attention to detail and strong proofreading skills.
This position is located at an ITAR facility, and applicants must be US Citizens or lawful permanent residents.

Salary Range
$75,000.00 - $80,000.00 annually. The actual salary will depend on experience, education, certifications, and skills. Benefits include health insurance, life and disability insurance, savings plans, paid holidays, PTO, and potential participation in stock and bonus programs.
