BACKGROUND INFORMATION
The purpose of the consultancy is to identify a qualified candidate to undertake a site manager role in the context of Giga - a joint ITU/UNICEF initiative, supporting governments to connect every school to the internet, and every young person to information, opportunity, and choice. Giga is headquartered in a large office space in Campus Biotech where both ITU and UNICEF colleagues are working together.
TERMS OF REFERENCE
Serve as the first-line on-site contact for operational matters, including those related to security, facilities, and IT/IS systems, by ensuring that established Giga procedures are properly adhered to, reporting incidents or technical issues, relaying information to the appropriate teams, and supporting the coordination of any required actions.
Support the logistical organization of meetings, events, and workshops hosted at the Centre, including room bookings, preparation of meeting spaces when needed, and coordination of refreshments.
Ensure the smooth day-to-day functioning of the office, including inventory management, ordering and distribution of office and kitchen supplies and monitoring timely replenishment. Maintain up-to-date inventories of IT assets and furniture.
Maintain effective communication with internal teams and external partners to address operational needs of the site, including coordination of mail, courier services, deliveries, and managing internal and external calls.
Act as the operational point of contact for facility-related service providers (e.g. cleaning, maintenance, catering) as well as with the building landlord, monitoring service delivery and reporting issues or intervention needs as appropriate.
Conduct regular checks of the premises and common areas to identify any irregularities, cleanliness issues, or operational concerns, follow up on incidents, and maintain basic operational records (incident logs, service requests, inspections).
Support contract management and procurement coordination related to facilities and site services, including monitoring service providers and collaborating with the procurement office for tenders or Long-Term Agreements (LTAs).
Undertake the reception and front desk operations at the Giga Connectivity Centre, serving as the first point of contact for visitors and staff, while ensuring compliance with security and access control procedures.
CONCRETE DELIVERABLES
Delivery of high-quality reception and front desk management services.
Coordination of operational support by liaising with security, facilities, and IT/IS systems on operational matters for the Giga Connectivity Centre and ensuring that established Giga procedures are properly adhered to.
Provision of efficient daily office management, including inventory management, ordering and distribution of office and kitchen supplies, and monitoring timely replenishment.
Delivery of proactive facility oversight by identifying any irregularities, cleanliness issues, or operational concerns, follow up on incidents, and maintain basic operational records and act as the operational point of contact for facility-related service providers (e.g. cleaning, maintenance, catering) as well as with the building landlord.
COMPETENCIES
Demonstrated expertise in organizational and planning skills and the ability to timely follow up on identified issues.
Excellent written communication skills, with the ability to convey information clearly and in accessible, audience-appropriate language and the ability to engage effectively with diverse stakeholders.
Strong command of Microsoft Office Tools.
Basic technical knowledge of audio-visual equipment and event-related technologies.
Demonstrated adaptability and innovation, with the capacity to respond effectively to evolving technical and operational requirements.
QUALIFICATIONS REQUIRED
Education:
University degree in hospitality, business administration, or a related field. An advanced degree would be an advantage.
Experience:
At least five (5) years of experience in a site or service operations role, of which at least three (3) years of experience in a leading role.
Languages:
Knowledge of French at advanced level. Knowledge of English would be an advantage.
REMUNERATION INFORMATION
Between USD 230 to USD 420 per day to be defined according to the work experience of the consultant.
