Order & Distribution Manager – Supply Chain (Pharmaceuticals)

About the Role
We are seeking an experienced Order & Distribution Manager to support the implementation of a next-generation ERP system (VI Innovation Tool) and play a key role in supply chain operations, data transition, and logistics within a leading pharmaceutical environment. The successful candidate will operate on-site in Basel, working closely with cross-functional teams including IT, Quality, Legal, and Finance.
This position is critical to maintaining operational excellence during a major system transition and will oversee warehousing, logistics, and compliance activities while acting as the SAP superuser and supporting migration to the new platform.
Key Responsibilities
* Support the implementation of an alternative to SAP (superuser role)
* Transfer, secure, and validate data from SAP to VI Innovation
* Setup of contracts, SLAs, SOPs, WIs, and ERP data mappings
* Manage goods and inventory in the new system environment
* Oversee logistics: transport ordering/tracking, cold chain, excursion management, and customs clearance documentation
* Define and manage IoR/EoR responsibilities and tax settings
* Monitor and manage inventory reconciliation across internal and CMO/3PL locations
* Supervise warehousing, stock accuracy, and ERP master data
* Execute purchasing of materials (e.g., excipients) where applicable
* Work cross-functionally with Trial Project Leads (TPLs), IT, QA, Legal, and Finance
* Liaise with 3PLs for stock corrections and ensure ERP reflects real-time inventory
* Ensure GMP/GDP compliance across all distribution activities
* Coordinate with external logistics providers and ensure on-time, compliant delivery
* Contribute to deviation, excursion, and SOP/process improvement
* Train team members on SAP and support end-user guidance
* Drive continuous improvement in transport, documentation, and distribution workflows
Required Qualifications & Experience
* BA/BS degree (or equivalent); focus in Supply Chain, Logistics, or Life Sciences preferred
* 5+ years of experience in pharmaceutical supply chain, warehousing, and distribution
* Proficient in SAP (R/3 or S4HANA, Fiori) with strong knowledge of inventory movements and stock statuses
* Solid understanding of ERP master data and ability to collaborate with data stewards
* Skilled in inventory management, reconciliation, and third-party logistics oversight
* Experience in cold chain logistics, customs, tax, and VAT-related documentation
* Knowledge of GMP/GDP, and pharmaceutical regulatory requirements
* Experience with contract manufacturing organizations (CMOs) and chemical suppliers is a plus
* Strong skills in MS Excel/data analysis
* Fluent English required; German and/or French is a strong asset
* ADR/IATA certification is a plus
