A leading investment firm with its Swiss office located in Zug is seeking a skilled and experienced Executive Assistant/Office Manager to join its dynamic team. This key role will provide comprehensive, high-level administrative support to senior executives, contributing to the smooth and efficient operation of the office. We are strictly looking for candidates who are immediately available to start.

A European investment group specializing in acquiring and growing staffing and HR service providers across various markets.
Requirements
* Proactively manage executive calendars, schedule meetings, and coordinate travel arrangements, including preparation of itineraries and travel documentation.
* Prepare meetings and ensure all necessary materials and resources are available in advance.
* Handle incoming and outgoing communications – email, calls, and correspondence – on behalf of the executive team.
* Oversee day-to-day office operations, including supply procurement and equipment maintenance.
* Support the local team with the preparation and distribution of recurring reports and documentation.
* Organise and schedule internal and external appointments, meetings and conference calls.
* Coordinate logistics for internal and external events.
* Provide administrative support for executives on ad hoc tasks and special projects.
* Perform other administrative duties as assigned by management.
* Manage confidential and sensitive information with the utmost discretion, maintaining accurate and organized records.
Competences
* A minimum of 3-4 years’ experience in a similar role as an Executive Assistant and/or Office Manager.
* Proven ability to manage multiple tasks, set priorities effectively, and adapt to the dynamic needs of the executive leadership.
* Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
* Exceptional written and verbal communication skills, with the ability to engage confidently across all levels of the organization.
* Fluency in both German and English is essential.
* High level of attention to detail with excellent problem solving capabilities.
* Hospitable.
* Demonstrated discretion, integrity, and professionalism in handling confidential information.
* Bachelor’s degree in Business Administration or a related discipline is preferred.
