Part-Time Administrative Assistant (Startup – Robotics & AI)

Location:
Lausanne, Switzerland (hybrid possible)

Hours:
~40–60% (flexible schedule)

We're an early-stage deep tech startup building next-generation robotic systems powered by AI. Our team combines backgrounds in robotics, software, and business development — and we're now looking for a hands-on, organized, and proactive
Administrative Assistant
to help us keep operations running smoothly as we grow.

Role Overview

You'll be the operational backbone of the team — ensuring that our accounting, payroll, and legal admin processes are handled efficiently and on time. This is a part-time role ideal for someone who enjoys bringing order to chaos, has great attention to detail, and is comfortable navigating bureaucratic and financial processes in Switzerland.

Major Responsibilities

* General administration:
Manage correspondence, scheduling, document filing, and company records.
* Local administration:
Meet/discuss with authorities, service providers in Lausanne
* Accounting support:
Coordinate with our accountant; manage invoices, payments, and expense tracking.
* Payroll & HR administration:
Help maintain employee records, contracts, and monthly payroll inputs.
* Legal & compliance:
Handle communication with authorities, notaries, insurance providers, and other partners.

Secondary responsibilities

* Procurement & vendor management:
Support ordering and contract renewals with suppliers and service providers.
* Operational support:
Assist with grant reporting, on-boarding new team members, and general office logistics.

Your Profile

* Previous experience in an administrative, office management, or accounting support role (startup or SME experience is a plus).
* Strong organizational skills and high attention to detail.
* Comfortable with basic accounting and payroll processes.
* Good communication skills in English (internal discussion) and French (external discussion), (bonus for German)
* Proactive, reliable, and able to work independently.
* Familiarity with Swiss business administration, tax, or legal systems is an advantage.
