In this role, you will be part of a dynamic international environment, collaborating closely with medical affairs experts and cross-functional teams across Europe. You will work with internal stakeholders and external partners to ensure smooth execution of medical events and strategic projects.
Your main tasks
Plan, organize, and execute virtual and in-person medical events, including advisory boards and symposia
Coordinate all meeting logistics such as scheduling, venue arrangements, travel, and catering
Serve as the primary point of contact for internal stakeholders and external vendors
Manage end-to-end sponsorship processes and ensure compliance with reporting requirements
Support contract preparation and signature workflows for healthcare professionals
Collaborate with cross-functional teams to ensure timely delivery of projects and initiatives
Maintain accurate documentation of meeting agendas, minutes, and action items
Monitor project timelines and proactively address potential delays or issues
Ensure adherence to legal, regulatory, and compliance standards in all activities
Provide operational support to both local and remote members of the medical affairs team
Your profile
Minimum 2-4 years’ experience in project & medical event management within the pharmaceutical or biotech industry
Strong organizational skills and ability to manage multiple projects simultaneously
Excellent communication skills and customer-oriented mindset
Solid understanding of compliance and legal requirements in life sciences
Proficiency in MS Office tools and collaboration platforms (Word, Excel, PowerPoint, Teams, SharePoint)
Ability to work independently and build effective partnerships across teams
Willingness to travel and flexibility to work in a hybrid environment
Fluent in both German and English (spoken and written)
