For an international wealth management and investment firm located in Geneva, we are seeking a:
PERSONAL ASSISTANT & OFFICE MANAGER
Key Responsibilities
* Schedule Management: Coordinate the Managing Director’s calendar, including in-person and video conference appointments, ensuring efficient scheduling across multiple time zones.
* Travel Arrangements: Organize all aspects of international travel, including flights, accommodations, and ground transportation.
* Accounting and Banking Reconciliation: Handle financial tasks, including reconciling accounts and managing office expenses.
* Real Estate Asset Monitoring: Track the performance of international commercial real estate investments, utilizing advanced Excel skills to analyze data and generate reports.
* Third-Party Follow-ups: Manage communications and follow up on reminders from external parties such as lawyers, consultants, and other service providers.
* Office Management: Oversee general office operations, including managing supplies, organizing meeting rooms, and ensuring the smooth running of the office environment.
* Administrative Support: Provide additional support with bookkeeping tasks, managing petty cash, and maintaining filing systems. Ensure compliance with office policies and timely submission of documents for client review.
Required Profile
* Previous experience as a Personal Assistant, preferably in finance or international organizations.
* University degree or equivalent.
* Proficiency in English is essential; knowledge of French and Italian is a plus.
* Dependability, strong work ethic, and exceptional attention to detail.
* Excellent communication and writing skills.
* Ability to work autonomously, prioritize tasks, and manage time efficiently.
* Problem-solving mindset with a focus on practical solutions.
* Intellectual curiosity and an open-minded approach.
* Advanced IT skills, including proficiency in Word, Excel, PowerPoint, Outlook, and experience with conference tools such as Zoom and Microsoft Teams.
