Lead Associate – Administrative Services We are currently seeking a Lead Associate, Administrative Services for the VP of International Market Access based in Lucerne.
Responsibilities Provide high‑level administrative support to the Head of International Market Access (VP) and his Regional Leadership Team by managing complex schedules, calendars, travel, expenses, and planning.
Coordinate meetings and planning worldwide, including agenda generation and scheduling across different time zones.
Schedule domestic and international travel, process visas as needed, and manage expense reporting for multiple senior leaders.
Monitor spend versus budget, highlight variances and risks, and support accruals, forecasting activities, and cost‑center alignment.
Support departmental work and initiatives such as website, TeamSite, global address list, organizational charts maintenance, and records management.
Coordinate special projects within the group and division, using Microsoft Outlook, Word, PowerPoint, and Excel.
Author and distribute departmental communications.
Perform general administrative and clerical duties.
Prioritize and perform multiple tasks with attention to detail while operating independently.
Communicate effectively with executives, internal and external stakeholders, both on‑site and remotely.
Handle confidential information and documents properly.
Execute work activities requiring MS Office and learn internal systems quickly.
Make sound decisions and seek help when appropriate.
Maintain knowledge of company policies and practices, applying independent judgment.
Learn and apply new technology systems and platforms such as videoconferencing, expense reporting, collaboration spaces, and Workday.
Required Qualifications High School Diploma or equivalent.
Extensive experience as a Senior Administrative professional.
Experience supporting VPs, AVPs, and executive directors.
Advanced computer skills with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and SharePoint TeamSite, plus operation of peripheral devices.
Proven experience managing complex calendars with detail orientation.
Proven experience scheduling and coordinating complex, multi‑leg domestic and international travel.
SAP experience processing expense reports, purchase orders, and payment requests.
Understanding of confidential information handling.
Outstanding professional communication and people skills.
Extraordinary attention to detail.
Ability to handle and prioritize a large number of simultaneous assignments.
Advanced secretarial and clerical abilities with a record of high performance.
Documented experience as a strong performer in current and past positions.
Preferred Experience Advanced education or certifications such as Certified Administrative Professional, Project Management Professional, or Professional in Human Resources.
Event planning and coordination experience.
