The Client’s Worldwide Stores organization is looking for an Administrative Assistant who wants to work in a fast-paced, exciting, and growing organization. We are seeking an exceptionally talented, dependable, customer-obsessed, and self-motivated Administrative Assistant to work under the direct supervision of the Executive Assistant to the Vice President of Transportation. The role requires a high degree of organization, attention to detail, ability to handle confidential information, and self-motivation.
Must have the ability to communicate well, manage multiple assignments and people simultaneously, and maintain professionalism in dealing with managers and executives.
Key Job Responsibilities
* Back up of calendar and support and scheduling needs for leaders on Transportation.
* Support logistics and planning for leadership meetings and support in managing events.
* Coordinate travel and create detailed itineraries.
* Complete and file expense reports.
* Tracking and helping drive completion of deliverables and following up on open action items.
* Special projects as assigned.
Qualifications
* High school or equivalent.
* 1+ years of working with computers and Microsoft Office products and applications experience.
* Work 40 hours/week, and overtime as required.
* Are 21 years of age or older.
* Strong organizational, communication, and interpersonal skills.
* Ability to prioritize and handle multiple assignments at any given time.
* High level of integrity and discretion.
* Ability to work effectively with minimal supervision.
* Superior attention to detail and ability to meet tight deadlines.
* Ability to complete complex tasks quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround.
Extended Qualifications
* Bachelor's degree or equivalent.
* Experience with end-to-end project management.
* Experience with domestic or international travel coordination.
* Demonstrated ability to design and improve processes.
* 1 year+ experience with Executive Level Calendar Management.
* 1 year+ experience planning, organizing, and supporting large meetings and events.
Review of Business Group
Support VP for Client’s Delivery (businesses are working to deliver packages to customers). Customer experience, technical, data science all falls under different leaders. 60,000 people in ORG.
Team Culture
60,000 people in ORG – 11 leaders under 4P, 45 EA’s that span globally. Very fast paced.
Why is the position open?
Two EA’s on leave of absence need immediate support. Approval from leadership team to pilot a contract to hire program.
Typical Day in the Role
Daily schedule: Not strict on start/end times, flexible.
Overtime
Potentially OT - up to 10 hours/week.
Task Breakdown
Need someone flexible to move between different leaders who need support, when someone is out (LOA, Sick, etc). More specific leaders on everyday basis but help when needed.
Internal Team Interactions
1 on 1 with HM (if needed). Biweekly EA team. Quarterly EA sync.
