We are seeking a dynamic and highly organized Executive Assistant to support our leadership team and help keep our operations running smoothly. In this versatile role, you’ll manage calendars, communications, and day-to-day priorities for C-level leaders, while also taking an active role in office management and event coordination.
This role requires a high level of attention to detail and the ability to prioritize effectively in a dynamic environment.
The role is onsite: 5 days a week, distributed between our Wollerau and Zurich office.
Responsibilities:
* Manage and coordinate calendars for C-level executives, including scheduling meetings, appointments, and travel arrangements
* Serve as the first point of contact for internal and external communications on behalf of leadership
* Organize executive-level meetings, prepare agendas, and take meeting minutes when needed
* Maintain clear records and documentation for executive schedules and company matters
* Anticipate executive needs and proactively address administrative issues
* Oversee general office management tasks, including supplies, facilities, and vendor coordination
* Organize internal and external events, such as team offsites, leadership workshops, and client meetings
Requirements:
* Minimum 5 years of prior experience in a Personal or Executive Assistant role
* Strong organizational and multitasking skills with the ability to prioritize effectively
* Excellent verbal and written communication skills in English and Swiss German
* Discretion and trustworthiness when handling sensitive information
* Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) or equivalent tools
* Strong time management and problem-solving skills
Bonus if you have:
* Experience working with international teams or across time zones
* Familiarity with digital tools such as Google Workspace, Zoom, Slack, or Notion
* Background in business administration, project coordination, or customer support
* Interest or experience in the logistics, tech, or supply chain sector
