A leading investment firm with its Swiss office in Zug is seeking a skilled Office & Executive Support Coordinator to join its dynamic team. This key role will provide comprehensive administrative support to senior executives, contributing to the smooth and efficient operation of the office.

About The Customer
A European investment group specializing in acquiring and growing staffing and HR service providers across various markets.
Responsibilities
* Proactively manage executive calendars, schedule meetings, and coordinate travel arrangements, including preparation of itineraries and travel documentation.
* Prepare meetings and ensure all necessary materials and resources are available in advance.
* Handle incoming and outgoing communications – email, calls, and correspondence – on behalf of the executive team.
* Oversee day-to-day office operations, including supply procurement and equipment maintenance.
* Support the local team with the preparation and distribution of recurring reports and documentation.
* Organise and schedule internal and external appointments, meetings, and conference calls.
* Coordinate logistics for internal and external events.
* Provide administrative support for executives on ad hoc tasks and special projects.
* Perform other administrative duties as assigned by management.
* Manage confidential and sensitive information with the utmost discretion, maintaining accurate and organised records.
Qualifications
* 1–2 years of experience in a similar role.
* A background in hospitality or similar service-oriented environments is highly regarded.
* Fluency in both German and English is essential.
* Proven ability to manage multiple tasks, set priorities effectively, and adapt to the dynamic needs of executive leadership.
* Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
* Exceptional written and verbal communication skills, with the ability to engage confidently across all levels of the organisation.
* High level of attention to detail with excellent problem-solving capabilities.
* Professional, service-oriented, and hospitable approach.
* Demonstrated discretion, integrity, and professionalism in handling confidential information.
* Apprenticeship or comparable professional experience.
