About the Role
Our client, a global leader in agricultural innovation specializing in crop protection products, seeds, and sustainable farming solutions, is seeking a Legal Operations Specialist to join their Legal Services team. This role is pivotal in ensuring smooth back-office operations, supporting senior leaders, and driving process improvements within the Legal Department.
Purpose
• Provide comprehensive administrative support to senior Legal leaders.
• Support day-to-day Legal Operations activities and collaboration with internal stakeholders.
• Contribute to the improvement, implementation, and documentation of Legal processes.
• Assist with Engagement, Learning, and Communications initiatives.
• Build strong relationships across Legal and related functions, aligned with organizational values.
Key Accountabilities
• Executive Administrative Support
• Manage calendars, coordinate meetings, and prepare agendas, minutes, and materials.
• Facilitate virtual meetings (Zoom, MS Teams) and handle correspondence.
• Organize travel, expenses, and document workflows.
Contract & Document Management
• Monitor contract workflows and ensure timely execution.
• Coordinate signatures (electronic and wet ink) and maintain filing systems.
• Support archiving and notarial/legalization tasks.
Engagement, Learning & Communications
• Organize training sessions, engagement activities, and prepare newsletters and surveys.
General Administrative Support
• Maintain distribution lists, onboarding processes, and IT/facility queries.
• Manage mail, courier shipments, and event logistics.
• Draft and proofread business correspondence.
• Maintain SharePoint sites, Teams folders, and org charts.
Experience & Skills
• Several years of administrative experience; legal department or law firm background is a plus.
• Strong organizational and time-management skills with attention to detail.
• Excellent communication skills and ability to work in multicultural teams.
• Proficiency in MS Office, Teams, Zoom, and SharePoint.
• High level of discretion and confidentiality.
• Service-oriented, proactive, and tech-savvy.
Education & Knowledge
• Bachelor's degree in business administration or related field (or equivalent).
• Fluent in English; good German skills preferred. Additional languages are an advantage.
• Familiarity with legal or corporate processes and contract management tools is a plus.
