Overview
Based in Fribourg, our client supports professionals in their business sector by providing them with essential logistics equipment and services. In an international environment where precision and coordination are essential, we are looking for an Import-Export Back Office Coordinator to strengthen our Procurement team, which acts as a central purchasing office. Providing true operational support, they will ensure the administrative and document management of trade flows, monitoring delivery times, and communicating with our customers, suppliers, freight forwarders, and inspection companies. Organized and meticulous, they will ensure data consistency and document compliance and help ensure smooth and reliable service throughout the supply chain.
Responsibilities
* Reporting to the Procurement team, as a Back Office Coordinator, you will be responsible for verifying the consistency and compliance of files recorded by the Front Office.
* Entering and updating data in the various information systems (ERP & OMS).
* Monitoring deliveries (regular contact by phone and email).
* Managing contract lifecycles, monitoring deadlines, reminders, and archiving.
* Maintaining ongoing contact with customers regarding the status of their orders and shipments.
* Administrative monitoring of operations, including coordination with freight forwarders and inspection companies (e.g., SGS: inspections at origin, entry into their portal, etc.).
* Preparation and monitoring of shipping documents (DHL, email).
* Regular liaison and contact with the back office of suppliers and partners.
* Updating of various procedures.
Your profile
* Education: Business school (CFC) or equivalent.
* Experience: 3-5 years in import-export and logistics.
* Skills and knowledge: Proven experience in administration and office automation (MS Office).
* Good knowledge of Incoterms and international trade documentation - essential.
* Native speaker of French and English (C1 level required).
* Experience working in Africa or Asia is an asset.
