Responsibilities
As Purchasing & Receiving Assistant, I will assume full responsibility for the efficient operation in the following:
* React to daily operating problems and complaints and offer solutions.
* Work with hosts to ensure that all incoming merchandise is dated, priced, and rotated in all circumstances.
* Verify authorization of purchase requisition.
* Be responsible for the selection and approval of the best suppliers and negotiate with them to obtain the best deal.
* Issue and approve purchase orders, record accordingly, and issue copies to the store.
* Carry out market surveys and provide a report to the Director of Finance on the latest market trends.
* Attend to all correspondence/inquiries directed to them that require personal attention.
* Prepare monthly and year-end reports for submission to the Director of Finance.
* Maintain the administration of the purchasing department and oversee store operations.
* Set up and maintain paper and electronic filing systems for records, correspondence, and other materials.
* Check all incoming goods against delivery orders and invoices, food specifications, and purchase records to ensure the correct type, amount, price, and quality of items charged and ordered, and maintain safe, sanitary, and organized storage of all items.
* Issue, store, price, and rotate all incoming goods for the resort and maintain an appropriate balance between par levels of inventory items and on-hand quantities in accordance with business needs.
* Ensure store requisitions are approved by authorized persons and acknowledged by recipients.
* Update daily receiving in the Purchasing/Inventory system and generate a Daily Receiving report for food, beverage, and non-food items on a timely basis.
* Ensure all goods received are delivered to the correct storage place/holding area.
* Knowledge of all safety, security, and emergency procedures related to the position in line with brand and statutory requirements.
* Ensure the privacy of guests, partners, and residential owners, applying an extra level of protection to sensitive personal data and using confidential information only to perform the job.
* Ensure all equipment of the department is kept clean and in good working condition.
* Upsell resort facilities and activities.
* Attend meetings and training as required.
* Knowledge and strict adherence to LQA standards.
Qualifications
To execute the position of Purchasing & Receiving Assistant, the candidate must have the required qualifications, technical skills, and experience in a similar role in luxury hotels with proven results and include the following:
* High school diploma or equivalent and at least 1–3 years of restaurant experience in a full-service outlet or similar setting. Hospitality diploma/degree from a recognized hospitality school is preferred.
* Fluent in English and French
* EU passport or valid Swiss work authorization required
